TxHIMA Event Policies
General Disclaimers

TxHIMA reserves the right to move, postpone or cancel any educational session or event due to civil disturbance, inclement or adverse weather or travel conditions that might prevent attendees to safely commute, a safety threat of any kind, inability of a speaker to attend and lack of appropriate substitute, or any other reason out of the control of TxHIMA.

TxHIMA practices due diligence in selection of speakers and presentations for the continued education programs. Content of presentation and views of the speakers may not reflect the policies, views or opinions of the TxHIMA Board of Directors, Officers, or the Staff.

TxHIMA reserves the right to substitute a speaker for any educational session or event.

TxHIMA is not responsible for the content or accuracy of the information on this site or any of the web sites linked from and/or to this site.

Handout materials are provided for information purposes and may not necessarily reflect the policies, views or opinions of the TxHIMA Board of Directors, Officers or the Staff.

TxHIMA provides a listing of the Corporate Partners and their services, but the listing should not be interpreted as TxHIMA endorses either the persons listed, or the services rendered by them.

Attendee Cancellation

A full refund will be given for written requests received on or before Attendee CANCELLATION DEADLINE [see below per event]. No refunds will be granted after this date. Cancellations must be received in writing from the original registrant to txhima@txhima.org. No cancellations will be taken by phone.

Registrants who do not attend the conference and/or do not contact TxHIMA via written correspondence during the set window as directed above will be responsible for the full attendee registration fee.

Attendee Substitutions

Substitute attendees may be named prior to the SUBSTITUTION DEADLINE [see below per event] or during on-site registration. Notification of substitution must be submitted in writing from the original registrant to txhima@txhima.org. No substitutions will be made by phone.

While registration is free for some attendees, we ask that you please follow the above cancellation guidelines.

Dates and Deadlines TxHIMA

Cancellation: 10 days before the event.
A $25.00 cancellation fee will be retained by TxHIMA for cancellations received prior the deadline date.

Substitution: 5 days before event.

Solicitation Policy

Solicitation at the Conference by non-exhibitors is prohibited. Any attendee who is not an exhibitor and is observed to be soliciting business in the exhibit hall (including in another company’s exhibit space or in the aisles) or in any other area of the conference deemed inappropriate may be asked to leave the event without refund at the discretion of the TxHIMA Board of Directors and may jeopardize their ability to attend future events. Additional examples of prohibited solicitation activity include unauthorized events, including offsite functions, that conflict with scheduled conference activities, and unauthorized distribution of marketing materials or product samples. Please note that this does not include the exchange of business cards and/or contact information through the course of normal networking.

Code of Conduct

All attendees, speakers, sponsors, and volunteers at our conference are required to agree with the following code of conduct. Organizers will enforce this code throughout the event. We expect cooperation from all participants to help ensure a safe environment for everybody. Our conference provides a harassment-free conference experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. We do not tolerate harassment of conference participants or venue staff in any form. Sexual language and imagery are not appropriate for any conference venue, including talks, workshops, parties, and social or digital media. Conference participants violating these rules may be sanctioned or expelled from the conference without a refund at the discretion of the conference organizers and the TxHIMA Board of Directors.

Liability Waiver

Attendee assumes all risks and accepts sole responsibility for any injury (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that attendee may experience or incur in connection with attending TxHIMA educational events including social activities. Attendee hereby releases, covenants not to sue, discharges, and holds harmless TxHIMA, its employees, agents, and representatives, of and from any such claims, including all liabilities, claims, actions, damages, costs, or expenses of any kind arising out of or relating thereto. Attendee refers to conference attendees and any guests of a conference attendee who attends any conference function or activity related.

Photography Release

TxHIMA retains the right and permission to publish, without further charge, photographs and videos taken during this event. These photographs and videos may be used in publications, including electronic publications, audio-visual presentations, promotional literature, advertising, or similar ways. By participating in this event, attendees voluntarily consent to be recorded and/or photographed by TxHIMA.
